This privacy policy covers both UK GDPR (for visitors and customers based in the United Kingdom) and EU GDPR (for visitors and customers based in the European Economic Area). The two frameworks are substantially similar. Where they differ, this policy notes the distinction. If you are based outside the UK and EEA, your data is still handled in accordance with the higher of the two standards described here.

Who is responsible for data collection on this website? Data processing on this website is carried out by the website operator. Contact details are in the “Responsible Controller” section below.

How do we collect your data? Your data is collected when you provide it to us directly — for example, when you fill in a contact form, book a demo, or place an order. Other data is collected automatically by our IT systems when you visit the website, such as technical data about your browser, operating system, and time of visit.

What do we use your data for? Data is used to provide and improve the website, to fulfil subscription contracts, to deliver Answerlee services to tenants, and to process payments. Where analysis tools are used, their purpose is described in the relevant sections below.

What rights do you have regarding your data? You have the right to receive information about the origin, recipient, and purpose of your stored personal data at any time, free of charge. You also have the right to request correction, deletion, or restriction of processing. You have the right to data portability and the right to lodge a complaint with a supervisory authority. 4. Hosting

IONOS

This website is hosted by IONOS SE, Elgendorfer Str. 57, 56410 Montabaur, Germany. When you visit our website, IONOS collects server log files including your IP address. Details can be found in the IONOS privacy policy: https://www.ionos.com/terms-gtc/terms-privacy/

The use of IONOS is based on Art. 6(1)(f) UK GDPR / EU GDPR. We have a legitimate interest in the reliable and secure presentation of our website. We have concluded a Data Processing Agreement (DPA) with IONOS as required by data protection law.

Hetzner

Certain Answerlee service components — including image storage for Answerlee Grow Social and the lead data database for Answerlee Grow Leads — are hosted on servers operated by Hetzner Online GmbH, Industriestr. 25, 91710 Gunzenhausen, Germany. We have concluded a Data Processing Agreement with Hetzner as required by data protection law.


5. General Data Protection Information

Data Protection

We treat your personal data confidentially and in accordance with applicable data protection law and this privacy policy. We point out that data transmission over the Internet can have security gaps and that complete protection from access by third parties is not possible.

Storage Duration

Unless a specific storage period is stated in this policy, your personal data will be retained until the purpose for processing no longer applies. If you request deletion or withdraw consent, your data will be deleted unless we have a legal obligation to retain it (for example, tax or commercial law retention periods).

6. Data Collection on This Website

Cookies

This website uses cookies — small data files stored on your device. Session cookies are deleted when you close your browser. Persistent cookies remain until deleted by you or your browser.

Enquiries by Email or Telephone

If you contact us by email or telephone, your enquiry and any personal data you provide will be stored and processed to handle your request. Processing is based on Art. 6(1)(b) or Art. 6(1)(f) as applicable. Data is retained until the enquiry is resolved or you request deletion.

Demo Booking — Calendly

When you book a demo via our website, we use Calendly LLC, 3423 Piedmont Road NE, Atlanta, GA 30305, USA. Calendly processes your name, email address, phone number, and any information you provide in the booking form.

Calendly is an active participant in the EU-US Data Privacy Framework and uses Standard Contractual Clauses (Art. 46(2) EU GDPR) to ensure adequate protection for data transferred to the USA. Further information: https://calendly.com/legal/data-processing-addendum

7. Answerlee Services — Data Processing

This section describes how personal data is processed within each Answerlee product. Tenants (business subscribers) are data controllers in their own right for the personal data of their callers and customers. Rapid Results GmbH acts as a data processor on behalf of tenants for data processed within Answerlee services.

7.1 Answerlee Capture

What the service does: Answerlee Capture provides an AI voice agent that answers inbound telephone calls on behalf of the tenant, responds to caller enquiries, books appointments, and takes messages.

Data collected:

  • Caller telephone number
  • Caller name (where provided during the call)
  • Appointment details (date, time, nature of appointment)
  • Messages left by callers
  • Any other information the caller provides during the interaction

How calls are processed: Calls are processed in real time by the AI voice agent. Calls are not recorded. No audio is stored. Call outcomes (appointments booked, messages taken) are stored in an Airtable database controlled by the tenant.

Transcripts: Full call transcripts are not retained except for a limited number of telephone numbers where the tenant has confirmed in writing that they hold the caller’s consent to retain a transcript for testing and quality assurance purposes. These exceptions are documented in the tenant and admin dashboards.

Retention: Caller data stored in Airtable is automatically deleted after 90 days.

UK phone number provisioning: Each Answerlee Capture tenant is provided with a dedicated UK telephone number. Numbers are provisioned via Twilio Inc., 375 Beale Street, Suite 300, San Francisco, CA 94105, USA. Twilio processes call routing data (originating number, destination number, call duration) as part of this service. Twilio participates in the EU-US Data Privacy Framework. Legal basis: Art. 6(1)(b) — processing is necessary to fulfil the subscription contract with the tenant. For caller data, the tenant’s legitimate interest in handling business communications (Art. 6(1)(f)).

Airtable: Caller data is stored in Airtable, operated by Airtable Inc., 799 Market Street, Floor 8, San Francisco, CA 94103, USA. Airtable participates in the EU-US Data Privacy Framework. Further information: https://www.airtable.com/privacy

7.2 Answerlee Grow Leads

What the service does: Answerlee Grow Leads monitors publicly available posts on Nextdoor neighbourhood feeds and Facebook community groups (up to 4 groups per tenant) for posts requesting local services relevant to the tenant’s business. Matching leads are scored, filtered, and delivered to the tenant by email with a suggested response.

Data collected and processed:

Tenant session data: To access Facebook community groups and Nextdoor, the service uses authenticated session data provided by the tenant. This session data is stored securely on Hetzner servers and used solely to access the feeds the tenant has authorised. It is not used for any other purpose.

Lead data: Post content from publicly available Facebook community group posts and Nextdoor neighbourhood posts is collected where it may represent a relevant lead for the tenant. This may include the content of the post, the poster’s display name, and the timestamp. This data originates from publicly available sources. It is stored in a database on the Hetzner server and delivered to the tenant by email.

Legal basis: Art. 6(1)(f) — legitimate interest. The tenant has a legitimate interest in receiving leads relevant to their business from publicly available local sources. We have assessed that this interest is not overridden by the interests of the individuals who posted publicly in community feeds, as the data is limited to publicly visible content, is used only for business matching purposes, and is not shared beyond the tenant.

Retention: Lead data is retained in the database and accessible via the tenant dashboard. Data older than 90 days is automatically deleted. Session data is retained for the duration of the subscription. On cancellation, all tenant lead data and session data is deleted approximately one month after the subscription ends.

Facebook and Nextdoor: Posts processed by Grow Leads originate from Facebook (Meta Platforms Ireland Limited, 4 Grand Canal Square, Dublin 2, Ireland) and Nextdoor (Nextdoor Holdings Inc., 420 Taylor Street, San Francisco, CA 94102, USA). Answerlee is not affiliated with either platform. Their respective privacy policies apply to the original posting of content on their platforms.

7.3 Answerlee Grow Social

What the service does: Tenants upload images and provide a brief description. Answerlee uses AI to generate platform-specific social media captions based on the tenant’s business profile. The tenant receives formatted images and captions by email and posts them manually. Nothing is posted automatically on the tenant’s behalf.

Data collected and processed:

Images: Images uploaded by the tenant are stored on the Hetzner Answerlee Grow server. Images may include photographs of the tenant’s work, premises, staff, or other business-related content. Tenants are responsible for ensuring they have the right to upload any images they provide, including obtaining appropriate consent where images contain identifiable individuals.

Business profile data: The tenant’s business information (business name, description, services, tone of voice preferences) is used by the AI to generate captions. This data is not shared with third parties beyond what is necessary to operate the service.

Generated captions: AI-generated captions are delivered to the tenant by email and are not stored after delivery.

Platform formatting: Images are formatted for Facebook (1200×630px), Instagram (1080×1080px), TikTok (1080×1920px static image), and Nextdoor (1200×900px).

Legal basis: Art. 6(1)(b) — processing is necessary to fulfil the subscription contract with the tenant.

Retention: Uploaded images are stored for the duration of the subscription. On cancellation, all tenant image data is deleted approximately one month after the subscription ends. Generated captions are discarded after delivery and are not retained.

Storage limit: Each tenant account has a storage limit of 500MB for uploaded images.


8. Payments — PayPal

Payments for Answerlee subscriptions are processed by PayPal (Europe) S.à r.l. et Cie, S.C.A., 22-24 Boulevard Royal, L-2449 Luxembourg. When you place an order, you are redirected to PayPal’s hosted checkout page where you enter your payment details directly. Answerlee does not see, store, or process your card or bank details.

PayPal acts as an independent data controller for payment processing. Their privacy policy applies to data entered on their checkout pages: https://www.paypal.com/uk/legalhub/paypal/privacy-full

When a subscription is confirmed, PayPal notifies us of the subscription ID, your name, and your email address for the purpose of account administration. This data is processed on the basis of Art. 6(1)(b) — fulfilment of the subscription contract.


9. Analysis Tools

IONOS WebAnalytics

This website uses IONOS WebAnalytics, provided by 1&1 IONOS SE, Elgendorfer Straße 57, 56410 Montabaur, Germany. IONOS WebAnalytics collects anonymised data including visitor numbers, page views, visit duration, referral sources, approximate visitor location, and browser/device information. IP addresses are anonymised. No cookies are stored by IONOS WebAnalytics. No data is traceable to individual persons.

Processing is based on Art. 6(1)(f). We have a legitimate interest in understanding how our website is used in order to improve it. We have concluded a DPA with IONOS.

Google Analytics

We use Google Analytics, provided by Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland, to analyse website usage.

Data collected includes: pages viewed, approximate location (country and city), device and browser type, referral source, session duration, scroll depth, and a randomly generated user ID. No name, address, or contact details are transferred to Google Analytics.

Data is transferred to Google servers, which may be located in the USA. Google participates in the EU-US Data Privacy Framework. Google Analytics cookies are stored for up to two years. Pseudonymous user data is deleted after 14 months. Aggregated data may be retained indefinitely.

10. Plugins and Tools

Google Fonts

This website uses fonts provided by Google LLC. Fonts may be loaded either from our own server (in which case no connection to Google is made) or from Google’s CDN servers (fonts.googleapis.com and fonts.gstatic.com). Where fonts are loaded from Google’s CDN, your IP address is transmitted to Google as part of the request. Google is headquartered in the USA and participates in the EU-US Data Privacy Framework.

Google reCAPTCHA

We use Google reCAPTCHA (Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland) to protect forms on this website from automated abuse. reCAPTCHA analyses visitor behaviour (including IP address, browser information, mouse movements, and time on page) automatically in the background when you enter the website. This data is transmitted to Google.

Processing is based on Art. 6(1)(f). We have a legitimate interest in protecting our website from spam and automated abuse. If consent is separately requested, processing is based on Art. 6(1)(a).

11. Newsletter

If you subscribe to the Answerlee newsletter, we require your email address and confirmation that you are the owner of that address and consent to receive the newsletter. No further data is collected without your agreement.

Processing is based on Art. 6(1)(a) — your consent. You may withdraw consent at any time by clicking the unsubscribe link in any newsletter email. Withdrawal does not affect the lawfulness of processing carried out before withdrawal.

Your email address will be retained for as long as you remain subscribed. Following unsubscription, your address may be retained in a suppression list to prevent future accidental mailings, on the basis of Art. 6(1)(f).


12. Objection to Advertising Communications

The use of contact details published as part of our legal notice for the purpose of sending unsolicited advertising or information is prohibited. We reserve the right to take legal action in the event of unsolicited commercial communications.
