Privacy Policy — Answerlee.com

Last updated: October 2026

Which framework applies to you?

This privacy policy covers both UK GDPR (for visitors and customers based in the United Kingdom) and EU GDPR (for visitors and customers based in the European Economic Area). The two frameworks are substantially similar. Where they differ, this policy notes the distinction. If you are based outside the UK and EEA, your data is still handled in accordance with the higher of the two standards described here.

5. General Data Protection Information

Data Protection

We treat your personal data confidentially and in accordance with applicable data protection law and this privacy policy. We point out that data transmission over the Internet can have security gaps and that complete protection from access by third parties is not possible.

Storage Duration

Unless a specific storage period is stated in this policy, your personal data will be retained until the purpose for processing no longer applies. If you request deletion or withdraw consent, your data will be deleted unless we have a legal obligation to retain it (for example, tax or commercial law retention periods).

Legal Bases for Processing

We process personal data on the following legal bases depending on the purpose:

  • Art. 6(1)(a) — Consent
  • Art. 6(1)(b) — Performance of a contract or pre-contractual measures
  • Art. 6(1)(c) — Compliance with a legal obligation
  • Art. 6(1)(f) — Legitimate interests

The specific legal basis for each processing activity is identified in the relevant sections below.

Recipients of Personal Data

We share personal data with third parties only where necessary for contract performance, where required by law, or where we have a legitimate interest. Third-party processors are listed in this policy. We do not sell personal data.

Your Rights

You have the following rights regarding your personal data:

  • Right of access (Art. 15 UK/EU GDPR)

SSL/TLS Encryption

This website uses SSL/TLS encryption for security. You can identify an encrypted connection by the “https://” prefix and the lock symbol in your browser.

6. Data Collection on This Website

Cookies and Similar Storage

This website does not show a cookie consent banner, because we do not use advertising or analysis cookies. We do not use Google Analytics, the Meta Pixel or similar third-party tracking tools. Our own visitor statistics use no cookies or browser storage (see section 9). Apart from the log-in of our own administrators, the website itself does not store cookies on your device.

Some services we use, however, store information on your device or read it, or connect to their provider’s servers, when you open a page or use them. They are listed below, each with its purpose and a link to the provider’s own information, which is where their current details are kept:

  • Calendly (booking calendar): when you open the booking page, Calendly and the providers it uses for bot and fraud protection (such as Google and Stripe) can store information on your device. Calendly shows its own cookie notice on that page. See “Demo Booking — Calendly” below and https://calendly.com/legal/privacy-notice
  • PayPal (payment): when you press the PayPal button on an order page, PayPal and its bot-protection provider load their own scripts and cookies. See section 8 and https://www.paypal.com/uk/legalhub/paypal/cookie-full
  • Google reCAPTCHA (protection of the demo forms against automated abuse): Google stores information on your device and reads it. See section 10 and https://policies.google.com/technologies/cookies

We rely on these only where they are needed to provide a service you ask for (the booking, the payment, a demo) or to protect the security of the website. The legal basis for our own part in them is Art. 6(1)(f) UK/EU GDPR: we have a legitimate interest in the secure and error-free operation of the website. You can configure your browser to notify you of cookies, restrict or block them, or delete them automatically on close. Disabling cookies may affect the functionality of this website.

Contact Form

If you contact us via the contact form, the data you provide — including your contact details — will be stored to process your enquiry and for follow-up purposes. We do not share this data without your consent.

Processing is based on Art. 6(1)(b) where your enquiry relates to a contract, or Art. 6(1)(f) in all other cases. Data is retained until your enquiry is resolved, you request deletion, or we have no further legitimate reason to retain it.

Enquiries by Email or Telephone

If you contact us by email or telephone, your enquiry and any personal data you provide will be stored and processed to handle your request. Processing is based on Art. 6(1)(b) or Art. 6(1)(f) as applicable. Data is retained until the enquiry is resolved or you request deletion.

Demo Booking — Calendly

When you book a demo via our website, we use Calendly LLC, 3423 Piedmont Road NE, Atlanta, GA 30305, USA. Calendly processes your name, email address, phone number, and any information you provide in the booking form.

Calendly is an active participant in the EU-US Data Privacy Framework and uses Standard Contractual Clauses (Art. 46(2) EU GDPR) to ensure adequate protection for data transferred to the USA. Further information: https://calendly.com/legal/data-processing-addendum

Calendly’s booking calendar is embedded on our booking page, so Calendly and its providers can store information on your device as soon as the page opens, whatever you choose in Calendly’s own cookie notice. Their cookies and how they are used are described in Calendly’s privacy documentation: https://calendly.com/legal/privacy-notice

Processing is based on Art. 6(1)(b) — to fulfil your request for a demo.

Demo Call — Try Answerlee Grow Leads

If you use the “Hear how a lead reaches you” form on our Trades Bundle page, we use your details to send you a verification code by text message and to make one demonstration phone call to you.

What we collect: your first name, UK mobile number and chosen trade, together with the time you agreed and the version of the wording you agreed to. To limit repeated requests, we also keep a scrambled (hashed) version of your IP address and of your phone number for 2 days, after which they are deleted automatically. Our application does not store your IP address itself. However, our web server keeps routine logs, which include your IP address, the time, the page requested and your browser, for about 10 days and then deletes them automatically. If you ring back the number that called you, your phone number is not recorded in these web server logs.

How it works: we send a 6-digit code by text message to check that the number is yours. Once you have entered it, an automated (AI) assistant phones the number once and reads sample leads for your trade. The leads are examples written by us; they are not real posts or real people. The call is not recorded and what you say is not logged. If you do not answer, we do not call again. If you miss the call, you can ring back the number that called you, and the assistant will read the unread leads.

How long we keep it: your name, number and trade are kept in a temporary demo record, which is deleted automatically after 7 days. The history of your demo call (the result, how the call ended, its length and Twilio’s call reference) is deleted with it after 7 days. We keep a record of your consent — a scrambled (hashed) version of your number, the time, and the version of the wording — for 12 months, so that we can show you asked for the call. Our call service also keeps an operating log for about three months. It records the time and call reference, and the words the assistant speaks during the call (which include your first name and the sample leads), and it may include your phone number, for example when you ring back. What you say on the call is not logged. We also keep anonymous counts (for example, how many demo calls were made), which do not identify anyone.

No marketing: using the demo does not subscribe you to anything, and we do not use your details for marketing.

Who processes it: Twilio Inc. sends the text message and places the call, and Google (Google Cloud EMEA Limited) processes the call audio live so that the assistant can understand you, and turns the assistant’s words, including your first name, into speech. We do not record the call. Details of both providers, including where they may handle the data and their retention periods, are in section 7.4. The temporary demo record is stored on servers operated by Hetzner Online GmbH (see section 4). Google reCAPTCHA protects the form (see section 10).

Legal basis: Art. 6(1)(a) — your consent, given by ticking the box on the form. You may withdraw it at any time by emailing info@answerlee.com; we will then delete your demo record, but this does not affect the call already made. For the anti-abuse measures (limiting repeated requests) the basis is Art. 6(1)(f): we have a legitimate interest in preventing misuse of the demo.

To ask what we hold about you, or to have it deleted, contact us at info@answerlee.com (see also “Your Rights” in section 5).

Demo — Try Answerlee Grow Social

If you use the Grow Social demo on our Trades Bundle page, you can type a short job description. We send this text, with the name, trade and location of the sample business you chose, to Anthropic’s Claude AI service, which writes the captions shown to you. Please do not enter personal data. We do not collect your name, email address or phone number, and the photos are our own samples; they are not sent to Anthropic.

What we keep: the four images created for you are deleted from our server after 24 hours. We do not store the captions or the text you type. To limit repeated use we keep a scrambled (hashed) version of your IP address for 2 days. Our web server’s routine logs include your IP address, the time, the page requested and your browser, for about 10 days; they do not include what you type. The page sets no cookies of its own; Google reCAPTCHA stores information as described in section 10.

Who processes it: Anthropic (Anthropic Ireland, Limited) processes the text; details are in section 7.4. Google reCAPTCHA protects the page (see section 10). The images are stored on servers operated by Hetzner Online GmbH (see section 4).

Legal basis: Art. 6(1)(f) — our legitimate interest in providing the demo and preventing misuse.

7. Answerlee Services — Data Processing

This section describes how personal data is processed within each Answerlee product. Tenants (business subscribers) are data controllers in their own right for the personal data of their callers and customers. Rapid Results GmbH acts as a data processor on behalf of tenants for data processed within Answerlee services. We keep technical and security logs, including call records such as phone numbers and, where given, names, for about three months.

7.1 Answerlee Capture

What the service does: Answerlee Capture provides an AI voice agent that answers inbound telephone calls on behalf of the tenant, responds to caller enquiries, books appointments, and takes messages.

Data collected:

  • Caller telephone number
  • Caller name (where provided during the call)
  • Appointment details (date, time, nature of appointment)
  • Messages left by callers
  • Any other information the caller provides during the interaction
  • A short summary of each call (intent, outcome, notes), and its length and time

How calls are processed: Calls are processed in real time by the AI voice agent. We do not record calls and we store no audio. The caller’s audio and phone number are sent live to Google’s Gemini Live API, which understands the caller and speaks for the agent (see section 7.4); the audio also passes through Twilio’s network. Call outcomes (appointments booked, messages taken) and a short summary of each call (its intent, outcome and notes), with its length and time, are stored in an Airtable database controlled by the tenant.

Transcripts: Full call transcripts are not retained except for a limited number of telephone numbers where the tenant has confirmed in writing that they hold the caller’s consent to retain a transcript for testing and quality assurance purposes. These exceptions are documented in the tenant and admin dashboards. For all other calls, a short summary is stored instead.

Retention: Caller data stored in Airtable is automatically deleted after 90 days.

Technical log: Our server log records the phone number and the length of each incoming call. What the caller says is not logged, except when switched on for testing or fault-finding. The log is deleted automatically after about three months.

UK phone number provisioning: Each Answerlee Capture tenant is provided with a dedicated UK telephone number, provided via Twilio Inc. Twilio processes call routing data (originating number, destination number, call duration) as part of this service, and the caller’s audio passes through Twilio’s network during the call. Details of Twilio are in section 7.4.

Google (Gemini Live): The caller’s audio and phone number are sent live to Google (Google Cloud EMEA Limited) during the call, so that the agent can understand the caller and respond. Google also produces a live transcription during the call, which is returned to our server. No European-only endpoint is set, so Google may handle this data outside the EU and the UK. Details of Google are in section 7.4.

Notification emails: When a booking is confirmed or a message is left, an email with the caller’s name, phone number and the booking or message details is sent to the tenant’s notification address. Emails are sent through IONOS SE (see section 4).

Legal basis: Art. 6(1)(b) — processing is necessary to fulfil the subscription contract with the tenant. For caller data, the tenant’s legitimate interest in handling business communications (Art. 6(1)(f)).

Airtable: Caller data is stored in Airtable, operated by Airtable Inc., 799 Market Street, Floor 8, San Francisco, CA 94103, USA. Airtable participates in the EU-US Data Privacy Framework. Further information: https://www.airtable.com/privacy

7.2 Answerlee Grow Leads

What the service does: Answerlee Grow Leads monitors publicly available posts on Nextdoor neighbourhood feeds, Facebook community groups, and Reddit (up to 4 groups/subreddits per tenant) for posts requesting local services relevant to the tenant’s business. Matching leads are scored, filtered, and delivered to the tenant by email with a suggested response. The service can also telephone the tenant to read out new leads.

Data collected and processed:

Tenant session data: To access Facebook community groups and Nextdoor, the service uses authenticated session data provided by the tenant. This session data is stored securely on Hetzner servers and used solely to access the feeds the tenant has authorised. It is not used for any other purpose.

Reddit access: The service uses a single company-controlled Reddit account to monitor public subreddits (up to 4 per tenant). No tenant’s Reddit account, login, or credentials are ever used, requested, or stored.

Lead data: Post content from publicly available Facebook community group posts, Nextdoor neighbourhood posts, and Reddit posts is collected as the feeds and subreddits are monitored, and stored in a database on the Hetzner server. Only posts assessed as a likely lead for the tenant are surfaced and delivered to the tenant by email; this may include the content of the post, the poster’s display name or username, and the timestamp. Posts not identified as a lead are still retained internally for up to 90 days (to avoid reprocessing the same post twice) before being deleted. This data originates from publicly available sources.

AI processing: To assess whether a post is a likely lead, to draft the suggested reply and to check keywords, the service sends the text of the public post and the tenant’s settings (such as service area and scoring weights) to Anthropic’s Claude AI service (see section 7.4).

Phone alerts and call-backs: The service can ring the tenant’s phone number to read out new leads (which can include a poster’s public text), and it answers if the tenant rings back. An AI voice agent handles the call. The lead text and the tenant’s contact name are sent to Google as text to be turned into speech, and the tenant’s audio is processed live by Google so that the agent can understand it (Google Cloud EMEA Limited; see section 7.4). Calls are placed and received through Twilio Inc. (see section 7.4). For each call we keep a call history: the result, how the call ended, its length, Twilio’s call reference, and the options the tenant chose (for example “next” or “stop”), but not their words. It is deleted automatically after about three months. The legal basis is Art. 6(1)(b), the subscription contract with the tenant.

Technical log of the call service: The log records the phone number of anyone who rings the service, including calls from numbers it does not recognise (we keep these on purpose, so that we can see who is calling if the number is misused or attacked); the words the assistant speaks, which include the contact’s name and the lead text; and, if Twilio refuses to place a call, the dialled number in Twilio’s error message. Not kept: the caller’s words, unless transcription is switched on in agreement with a tenant for testing or fault-finding. The log is deleted automatically after about three months. The legal basis is Art. 6(1)(f), our legitimate interest in the security of the service. Twilio and Google keep their own records under their own retention periods (see section 7.4).

Legal basis: Art. 6(1)(f) — legitimate interest. The tenant has a legitimate interest in receiving leads relevant to their business from publicly available local sources. We have assessed that this interest is not overridden by the interests of the individuals who posted publicly in community feeds, as the data is limited to publicly visible content, is used only for business matching purposes, and is not shared beyond the tenant.

Retention: Lead data is retained in the database and accessible via the tenant dashboard. Data older than 90 days is automatically deleted. Session data is retained for the duration of the subscription. On cancellation, all tenant lead data and session data is deleted approximately one month after the subscription ends.

Providers: Posts processed by Grow Leads originate from the following providers:

  • Facebook (Meta Platforms Ireland Limited, 4 Grand Canal Square, Dublin 2, Ireland)
  • Nextdoor (Nextdoor Holdings Inc., 420 Taylor Street, San Francisco, CA 94102, USA)
  • Reddit (Reddit, Inc., 303 2nd Street, South Tower, 5th Floor, San Francisco, California 94107, USA — participates in the EU-US Data Privacy Framework)

Answerlee is not affiliated with any of these providers. Each provider’s own privacy policy applies to the original posting of content on their platform.

7.3 Answerlee Grow Social

What the service does: Tenants upload images and provide a brief description. Answerlee uses AI to generate platform-specific social media captions based on the tenant’s business profile. The tenant receives formatted images and captions by email and posts them manually. Nothing is posted automatically on the tenant’s behalf.

Data collected and processed:

Images: Images uploaded by the tenant are stored on the Hetzner Answerlee Grow server. Images may include photographs of the tenant’s work, premises, staff, or other business-related content. Tenants are responsible for ensuring they have the right to upload any images they provide, including obtaining appropriate consent where images contain identifiable individuals.

Business profile data: The tenant’s business information (business name, description, services, tone of voice preferences) is used by the AI to generate captions. This data is not shared with third parties beyond what is necessary to operate the service. The business profile, saved texts and the job description (text only; images are not sent) are sent to Anthropic to write the captions (see section 7.4).

Generated captions: AI-generated captions are delivered to the tenant by email and are not stored after delivery.

Platform formatting: Images are formatted for Facebook (1200×630px), Instagram (1080×1080px), TikTok (1080×1920px static image), and Nextdoor (1200×900px).

Legal basis: Art. 6(1)(b) — processing is necessary to fulfil the subscription contract with the tenant.

Retention: Uploaded images are stored for the duration of the subscription. On cancellation, all tenant image data is deleted approximately one month after the subscription ends. Generated captions are discarded after delivery and are not retained.

Storage limit: Each tenant account has a storage limit of 500MB for uploaded images.

7.4 AI and telephony providers

Our services use the providers below. Each product section above says which data is sent to which provider; this section gives the details of each provider.

Anthropic (Claude AI service): Anthropic Ireland, Limited, 6th Floor, South Bank House, Barrow Street, Dublin 4, D04 TR29, Ireland. Used by Answerlee Grow Leads (to assess whether a post is a likely lead, to draft suggested replies and to check keywords), by Answerlee Grow Social (to write captions) and by the Grow Social demo. It receives text only, never images. Anthropic may handle the text outside the EU and the UK under Standard Contractual Clauses. Anthropic states that it does not train its models on this content and deletes it within 30 days. Further information: https://privacy.claude.com/en/articles/7996866-how-long-do-you-store-my-organization-s-data

Google (Gemini Live and speech): Google Cloud EMEA Limited, 70 Sir John Rogerson’s Quay, Dublin 2, Ireland. Used by Answerlee Capture, by the Grow Leads phone alerts and call-backs, and by the Grow Leads demo call. Google processes the call audio live (Gemini Live) so that the voice assistant can understand what is said, and turns the assistant’s words into speech (for the Grow Leads call service, with Google Cloud Text-to-Speech). We do not record calls. Google may handle this data outside the EU and the UK, including in the USA, under its data processing terms (Standard Contractual Clauses); Google LLC is also certified under the EU-US Data Privacy Framework. Google states that on paid services it does not use this content to improve its products and keeps it for a limited time only, to detect abuse. Further information: https://ai.google.dev/gemini-api/terms

Twilio (telephone calls and text messages): Twilio Inc., 375 Beale Street, Suite 300, San Francisco, CA 94105, USA. Used to send text messages and to place and receive calls: the demo’s verification text and demo call, the Grow Leads phone alerts and call-backs, and the telephone numbers and call routing for Answerlee Capture. Calls, including the caller’s audio, pass through Twilio’s network. Twilio keeps its own records of messages and calls (such as the number, the time and the status) under its own retention periods. Twilio participates in the EU-US Data Privacy Framework. Further information: https://www.twilio.com/en-us/legal/privacy and https://help.twilio.com/articles/4410585868443

8. Payments — PayPal

Payments for Answerlee subscriptions are processed by PayPal (Europe) S.à r.l. et Cie, S.C.A., 22-24 Boulevard Royal, L-2449 Luxembourg. When you place an order, you are redirected to PayPal’s hosted checkout page where you enter your payment details directly. Answerlee does not see, store, or process your card or bank details.

PayPal acts as an independent data controller for payment processing. Their privacy policy applies to data entered on their checkout pages: https://www.paypal.com/uk/legalhub/paypal/privacy-full

PayPal and its providers load their own scripts and cookies on your device when you press the PayPal button. Their purposes and lifetimes are in PayPal’s cookie statement: https://www.paypal.com/uk/legalhub/paypal/cookie-full

When a subscription is confirmed, PayPal notifies us of the subscription ID, your name, and your email address for the purpose of account administration. This data is processed on the basis of Art. 6(1)(b) — fulfilment of the subscription contract.

9. Analysis Tools

We do not use Google Analytics, the Meta Pixel or other third-party analysis or advertising tracking tools on this website. If you reach our website from an advertisement on Facebook or Instagram, Meta processes the click under its own privacy policy; we receive no personal data from Meta, only the campaign tracking parameters described below.

First-Party Event Tracking

We use a first-party, self-hosted tool to understand how visitors use this website — which pages are viewed, how far visitors scroll, and which links or buttons are clicked. This tool does not use cookies or any other form of browser storage, which is why it needs no consent banner.

To distinguish one visit from another, a temporary identifier is generated from your IP address, browser type, and a 30-minute time window. Your IP address is used only to calculate this identifier and is never stored. The identifier changes automatically after a period of inactivity, cannot be used to identify you personally, and is not linked to any name, account, or contact details.

Data collected includes: the page viewed, the referring page, scroll depth reached, links or buttons clicked, your screen size (width and height in pixels), which stages of the booking calendar or the demos you reached (for example “calendar shown” or “code sent”: the stage only, never what you type), and campaign tracking parameters where you arrived via a marketing link. We also add these campaign tracking parameters to our own booking and order links, so that we can tell which advertisement led there. This data is stored on our own servers and is automatically deleted after 90 days.

Processing is based on Art. 6(1)(f). We have a legitimate interest in understanding how our website is used in order to improve it.

10. Plugins and Tools

Fonts

This website displays its fonts from our own server. Your browser makes no connection to Google or any other font provider to load them, and no data about you is sent for this purpose.

Google reCAPTCHA

We use Google reCAPTCHA (Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland) to protect forms on this website from automated abuse. reCAPTCHA analyses visitor behaviour (including IP address, browser information, mouse movements, and time on page) automatically in the background when it runs. This data is transmitted to Google.

On the Grow Leads demo form on our Trades Bundle page, reCAPTCHA is loaded only when you start to use the form, not when the page loads. On the Grow Social demo it is loaded together with the demo when the page opens. When it loads, Google can store information on your device (cookies on google.com and recaptcha.net, and an item in your browser’s local storage on answerlee.com) and read it. This is used to tell people from automated programs and to protect the demos from abuse. Google’s cookies may also serve other Google purposes; their current names and lifetimes are in Google’s own information: https://policies.google.com/technologies/cookies

Processing is based on Art. 6(1)(f). We have a legitimate interest in protecting our website from spam and automated abuse, and we treat reCAPTCHA as necessary for the security of the demos. We do not ask for separate consent for it.

Further information: https://policies.google.com/privacy and https://policies.google.com/terms

11. Newsletter

If you subscribe to the Answerlee newsletter, we require your email address and confirmation that you are the owner of that address and consent to receive the newsletter. No further data is collected without your agreement.

Processing is based on Art. 6(1)(a) — your consent. You may withdraw consent at any time by clicking the unsubscribe link in any newsletter email. Withdrawal does not affect the lawfulness of processing carried out before withdrawal.

Your email address will be retained for as long as you remain subscribed. Following unsubscription, your address may be retained in a suppression list to prevent future accidental mailings, on the basis of Art. 6(1)(f).

12. Objection to Advertising Communications

The use of contact details published as part of our legal notice for the purpose of sending unsolicited advertising or information is prohibited. We reserve the right to take legal action in the event of unsolicited commercial communications.
